As partners are starting to run Video Conferencing based events/meetings here are some answers to Frequently Asked Questions about Video Conferencing. It doesn't give you instructions on how to do something but rather tells you what you need to do.
Decide what type of VC session you want - audio only or audio and video, decide if you want to use data conferencing (whiteboard, presentations and application sharing)
Book a conference session that begins at least 30mins before the offical start time of the meeting/event
Let the guys at VQ know about the conference so they can be around to help out with any problems
Ask the Presenters to join the conference 15-30mins before the event/meeting starts to make sure their systems work and to upload presentations
Ask the Participants to join the conference 5-10mins before the event/meeting starts to make sure everything is ok
Make sure you are online 30mins before the offical start time of the event
Get VQ to help sort out any audio problems with presenters or participants
Get the presenters to upload their presentations - make sure it's in the order of presentation
Remind all presenters and participants to Mute/Switch Off their microphones if they are not speaking as that can add a lot noise to a conference
Make sure your VC system is working properly, if necessary contact the VQ helpdesk
Login to the VC system and join the conference session prior to the actual time the event starts typically about 15-30mins before the start
Make sure you've joined the Data Conference as well if you'll be using it
Upload your presentation - the organiser should be in charge of this
During the event/meeting remember to keep your microphone muted if you're not talking - the microphone can even pick-up people knocking on your office door!
Make sure your VC system is working properly, if necessary contact the VQ helpdesk
Login into the VC system and join the session (start data conferencing if necessary) about 5-10mins prior to the start of the event
During the event/meeting remember to make sure your microphone is muted / switched off when you're not talking as the microphone can be very sensitive
